Who We ArePsychological Therapeutic Solutions Ltd is a group psychology and therapy practice offering face-to-face appointments in Lincoln and online appointments nationwide. Dr Deborah Kingston is the data controller for the purposes of the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
We are registered with the Information Commissioner’s Office (ICO) as a data controller under registration number [ICO Reg No].
References to “we” or “I” in this document refer to Psychological Therapeutic Solutions Ltd and its clinicians.
What Personal Data We CollectContact and Identity Information- Name, address, date of birth, email address, phone number
- GP name and address
- Whether you are self-paying or funded by insurance
- If referred by a health insurance provider: referral information, policy number, and authorisation for psychological treatment
- Handwritten or electronic session notes
- Clinical reports shared with professionals involved in your care (e.g. GP, psychiatrist)
- Outcome measures and assessment information
This information is classed as “special category data” under UK GDPR due to its sensitivity. It is handled with the highest standards of care and professional confidentiality.
Mailing List DataIf you join our Resources waitlist, we collect your name and email address to send you updates about our workbook. This data is stored securely in Mailchimp. You can unsubscribe at any time using the link in any email we send. We do not share this data with third parties.
Lawful Basis for ProcessingUnder Article 6 of the UK GDPR, we rely on the following lawful bases:
- Contract: Where processing is necessary to arrange and deliver your therapy sessions
- Legitimate Interests: To manage our practice safely, respond to enquiries, and maintain records for insurance purposes
- Legal Obligation: Where we are required by law, court order, or professional regulatory obligation to process or retain information
- Consent: Where you have given clear consent to a specific use of your data (e.g. mailing list)
For special category clinical data, we additionally rely on Article 9(2)(h) of the UK GDPR, which permits processing necessary for the provision of health care or treatment, carried out by a health professional subject to professional confidentiality obligations.
How We Store Your Data- Handwritten notes are placed in a file and stored in a locked cabinet within our locked clinic room
- Electronic notes and reports are kept in a password-protected document on a password-protected computer, backed up to a secure iCloud. Accessible only by the treating clinician
- Contact details held on mobile phones use first name or initials only, protected by Face ID. Your number is deleted by your clinician when you are discharged
- All devices are password protected with malware and antivirus software installed. Mobile devices are protected by passcode or biometric security
We use the information we hold about you to:
- Plan and deliver your care
- Liaise with other professionals relevant to your care needs
- Process payment for services
- Comply with our legal and professional obligations
As part of our professional guidelines, clinicians undertake regular monthly supervision. We may share some of your information with a supervisor to ensure you receive high quality care. We use first names only and do not share identifying details in supervision.
How We Share Your InformationYour information is kept confidential. However, there are circumstances in which we have a duty to share personal data:
- Safeguarding: Where there are significant concerns for your safety or that of another person
- Legal obligation: If required to disclose personal data by law, court order, or legal process
- Insurance or EAP referrals: If your treatment is funded by a health insurance policy or Employee Assistance Programme, we may share appointment schedules for billing and relevant clinical updates with that organisation
- Other healthcare providers: We may share relevant clinical information with your GP, psychiatrist, or other professionals on a need-to-know basis, with your knowledge wherever possible
We will never share your personal information with third parties for marketing purposes.
How Long We Keep Your Data- If you enquire but do not proceed to an appointment, all data is deleted
- If you have had at least one appointment, all records are retained for 7 years after discharge, in line with professional insurance and BPS/HCPC guidance. After this period, all data is deleted and paper records are shredded
- Mailing list data is retained until you unsubscribe
Under UK data protection law you have the right to:
- Be Informed: To know what happens to your information, fulfilled by this notice
- Access: Request a copy of your personal data, free of charge, provided within one month of your request
- Rectification: Have inaccurate or incomplete personal data corrected
- Erasure: Request deletion of your data. Please note this right does not apply to clinical therapy records, which must be retained for 7 years in accordance with BPS and HCPC guidelines
- Restriction: Request that we limit processing of your data in certain circumstances
- Data Portability: Obtain and reuse your personal data in a different service
- Object: Object to the processing of your personal data in certain circumstances
- Automated Decision Making: Rights in relation to automated decision making and profiling

Data Protection Concerns and ComplaintsIf you have a concern or are unhappy with how we have handled your personal information, you have the right to raise a complaint directly with us first.
Please email with your name, the nature of your concern, and what you would like us to look into. We will:
- Acknowledge your complaint within 30 days of receipt.
- Investigate your concern and communicate the outcome to you without undue delay.
